How to Choose the Right One - Office Phone System

The telephone system you will need is dependent upon how many staff members you have. If yours is a one-person office, then you won’t need more than a single phone on your desk.

Your telephone line should be separate from that of your home, even if you work in a home office. You will want to be able to separate business calls from personal calls and turn off the ringer on the business line aft hours.

* Beware Of Phone Vendor Jargon

Before we start looking, let’s set all the fancy jargon aside. This is usually the most intimidating part of getting your system. A skilled salesperson might ramble about extensions, hybrids, keys or cabinets. Or, they may launch into an alphabet soup of VOIP, PBX, KSU, CTI and just about every letter combination you can dream of.

Don’t be afraid to tell the guy to slow down and spell it out. A good salesperson will be happy to do this. They will want their valued customer to understand exactly what they offer. The most important thing is that you understand all the features that you are getting.

* Get Just What You Need And Ditch The Rest

For your business, you want the perfect system. This means everything you need, and you don’t need a whole lot more. Add-ons and special features are nice, but you don’t need a spider’s web of connections for an office staff of 4. Those extra features may just cause a mess.

Basically, you need one extension per employee, and one for each room of your facility that you use often. If you have just a couple of employees, a regular phone

system will work. If your office is a labyrinth of cubicles, go with the whole works.

* Have A Look At Office Phone System Options

These days, you can have just about any feature you want. Features that used to be fancy add-ons are now part of every office phone system package, usually at the same price. You can take advantage of tele-conferencing for meetings where everybody can’t get together. Remote voicemail pickup allows you to get your messages anywhere on the planet.

The newest trend is VOIP, or “Voice Over Internet Protocol”. You can talk for free over the Internet, as long as you have enough bandwidth to run the program. One of the most popular VOIP services is Skype. So many businesses are using it that it’s almost essential to be able to communicate over the Internet.

Have a separate fax line from your telephone line. As your business grows, both of these lines will get more use, and they shouldn’t be tied up.

If you have staff, you will need a more sophisticated telephone system with which you can transfer calls from one extension to another and call each other internally. When purchasing a system, make sure you get one that can grow with your company.

For example, if you plan to have six employees three years from now, it makes no sense to purchase a system that has a maximum three users. Always look ahead to make sure current purchases will integrate with future needs
